Online Order Entry for Duplicating Services Requests
The Bloomsburg University Duplicating Services and Applications Development and Operations Departments are happy to introduce a new online order entry system that will streamline and automate the time it takes you to request and receive print material.
Logging Onto the System
Log into https://departments.bloomu.edu/duplicating using the same user ID and password you use for logging onto your office computer or email program.
Please note there is an 's' in the internet address; this indicates a secure connection which encrypts your user ID, password and email contents during transmission.
The software is very user friendly; therefore, no user’s help guide has been developed or formal training sessions planned. If you do have any order entry questions please contact Evanna Nolte (ext. 4313), she will be glad to help you.
Some of the immediate advantages of using this program
- Ease of order entry through a menu-driven online process that will allow you to post all your print files (Word, PDF, Excel, etc.) directly with your electronic request. Sending job requests through the mail will become a thing of the past.
- Ability to recall, change and reenter any old jobs that were previously run in Duplicating Services.
- Ability to track the status of your job online via a unique job number that will be assigned to each order.
- Ability to check the invoices for all of your print jobs online.
Frequently Asked Questions (FAQs)
Q. How will I know that my job was received in Duplicating Services?
A. Simply return to the “My Request” screen and click on “Open Requests.” All active jobs you have entered will be listed here.
Q. Can I make changes to a job once it is entered on the system?
A. Yes, as long as your job appears under “Open Requests” and “New” is displayed in the “Status” field. If not, please call Tom Patacconi (Ext. 4212), Duplicating Services supervisor.
Q. Can I duplicate a print job that is similar to a job I have already placed, and reissue it again as a new request after I make some changes?
A. Yes, if the job still appears on your “Open Request” list, you can click on “Copy”, make changes and resubmit as a new job. If the job appears on your “Closed Request” list you can click on “Review/Resubmit”, make changes and resubmit as a new job. Note: Any documents that may have been attached to these jobs will be kept on file for 14 months.
Q. Who should I call if I need help with placing an order?
A. Call Evanna Nolte (Ext. 4313) if your question relates to entering an order or Tom Patacconi (Ext. 4212) for any other questions.
Q. How will I be invoiced for the jobs once they are completed?
A. All jobs will be invoice by adding an expense (chargeback) to your budget using the SAP cost center you provided when the job was entered. The expense will appear under “Chargeback Expenses 820100.” You will not receive a confirmation of this expense through the mail. You can review the details of chargebacks by going to your “Closed Requests” and clicking on “Invoice” for the job you wish to review.
Q. Do I have to enter my job using this online method?
A. Yes, if your documents are not in an electronic format* you can still mail your requests to Duplicating Services as you have in the past. Simply enter your request online and when prompted choose "Submit To Duplicating" and "Hard Copy Hand Delivered To Duplicating". Once you complete your request you will be given a job number. Affix the job number to the documents to be copied and either deliver to Duplicating or put in the campus mail.
Please reference this job number with any email or phone correspondence with Duplicating Services. The old request form (Quick Copy Form) will no longer be used.
* Please contact Evanna (4311 or enolte@bloomu.edu) if your job is in hard copy and you would like to convert to a pdf file. The purchasing department will make this conversion, email the pdf file to your attention and return the hard copy through the mail.
Please make this request at least one week before you plan on sending the job to Duplicating Services or advise Duplicating Services to have the job sent to you as a pdf file after the job has been completed. |
