There are several ways to access things on your office computer.

The options available to you, including training materials to get you started, are explained below. Please read the description in each of the sections: IMAP, POP, VPN, and Remote Desktop Connection. Immediately below the description there are instruction materials listed; you must click on each item listed in order to view the instruction.

Please note: All methods provided in the instruction below provide a secure connection which encrypts your user ID, password and email contents during transmission.


Configure another email client or mobile device to check Outlook email.

Note: Advanced functions such as calendaring and scheduling will not be available if you use a POP/IMAP client rather than using Outlook on campus. If you wish to use a full function client with calendaring and scheduling remotely, you may use Outlook Web Access via the internet, remote desktop connection to connect into your Office PC and run Outlook, or VPN in to campus and run Outlook directly on your own computer.


Basic Email Settings - The settings that are needed should you wish to configure another email client or mobile device to retrieve faculty/staff email.

General Email Setup Instruction (POP/IMAP/SMTP/ActiveSync)



IMAP (Internet Message Access Protocol)
Very similar to Outlook Web Access, another email client can be configured to view/send email messages. Email messages will remain on the Outlook Exchange Server but messages are able to be viewed on your IMAP client. IMAP does support multiple mail folders. IMAP does not support calendar, tasks, or contacts. IMAP essentially gives you access directly to the email server. Any message you delete is deleted from the mail server and will not be found in Outlook on campus or in Outlook Web Access.

POP (Post Office Protocol)
POP settings may be used to retrieve email messages from your main Inbox only. The POP protocol does not recognize any email folders other than your main inbox.

Caution! Default POP settings REMOVE email messages from the Outlook Exchange server once they are downloaded into your POP client so your only copy of the message will be on the computer you "POPed" the message down to. If you wish to leave the messages on the server so that you can also get them when using another method (Outlook on campus, Outlook Web Access, mobile device), you MUST place a check in the box next to "leave a copy of the message on the server" when you set up your POP client. Follow instruction very carefully!

Mobile Devices (ActiveSync)
ActiveSync allows certain mobile devices (windows mobile devices and any other device that has licensed ActiveSync from Microsoft, including the Apple iPhone) to connect directly to our Exchange servers. This allows you to sync your mail, calendar, and contacts wirelessly directly with your phone.

VPN (Virtual Private Network) - This allows users at home that are connected to the Internet with their own Internet Service Provider such as a cable modem or DSL to access University restricted services and applications. This allows a connection from the Internet into a protected zone, to authorize computers before they get access and encrypt the whole traffic flow between their home computer and our network. When you VPN into campus, it is as if your computer is plugged directly into our network on the inside of the campus firewall.

Remote Desktop Connection - Using this choice to connect, campus users can log in remotely and have access to all programs and network drives that they have access to while working in their offices. By using remote desktop to connect to your computer it is as if you are sitting in front of your office computer.
